Gala Dinner & Awards Ceremony

Overview

Our client, Siemens Plc, are a leading engineering and technology services company, which has been active in the United Kingdom for over 170 years. They design and manufacture products ranging from traffic lights and gas turbines, to the superconducting magnets used in medical scanners.

NYS Corporate have worked alongside Siemens as a preferred supplier of Venue Finding and Event Logistics since 2004. This was the first event we have managed for their Entry Level Talent Team.

Siemens are a top employer of entry level talent in the UK with over 600 apprentices and a vibrant community of interns, apprentices and graduates.

The Brief

The purpose of the event was to provide a full day Development Session for Siemens interns, followed by a Gala Dinner to celebrate the completion of the talent programmes and recognise the year’s top performing apprentices, interns and graduates.

NYS Corporate’s role was to provide delegate management, event logistics and on-site support for 200 delegates. This included:

  • Venue Sourcing for a day module and evening event, with delegate accommodation.
  • Providing a constant communication pathway between Siemens and the venue, with weekly conference calls and regular updates.
  • Creation of a Siemens branded delegate registration site.
  • Attendee reports including summary of accepted/declined/not responded, emergency contact details, dietary and special requirements, etcetera.
  • Support in arranging appropriate security levels following recent security threats.
  • Printing of place-cards, table plans, etc.
  • Overseeing Audio-Visual Production.
  • Onsite support for the Gala Dinner.

Result

Key deliverables achieved…

  • Through the bespoke delegate registration site created, our team were able to distribute personalised invites and reminders, boosting attendance rates and ensuring all attendee details were accurately captured.
  • Our team negotiated discounted rates for delegate accommodation and a significant reduction in cancellation costs at Siemen’s chosen venue – the Mercure Manchester Piccadilly.
  • A secure check-in process was implemented, which including checking the ID of all attendees and stationing security guards at the entrance.
  • The set-up and timings ran smoothly throughout the day, including the room turnaround from meeting to dinner.
  • The food was highly rated and all delegate requirements were met – including over 50 specific dietary requirements.
  • All aspects of the event were completed within the assigned budget and a transparent Statement of Accounts provided
