At NYS, we will provide a dedicated point of contact and an experienced events team to run your event on site, offering you the following on-site support at your event:

  • Check all rooming lists, transfer lists and delegate lists
  • Meet with Venue Contact and go through Running Order before the delegates arrive
  • Prepare on site kit to include stationary, easels, signage, printer etc
  • Co-ordinate rooms/keys on arrival days
  • Distribute Welcome/Delegate packs
  • Provide staff information desks throughout, including group check-in if required
  • Manage all venue liaison
  • Manage accommodation requirements
  • Manage meeting room requirements
  • Manage all ground transportation throughout
  • Manage social function including transfers
  • Manage food/beverage requirements including dietary requirements
  • Manage coordination with selected AV provider
  • Manage additional 3rd party suppliers e.g. Team Building
  • Manage all delegate “change” requirements including changes to agenda and ad-hoc requests from delegates
  • Update personalised departure notices as changes occur
  • Organise/attend debrief meeting with all suppliers
